As most of you know, Meetup is not free to the Organizer of a meetup.
There are 3 plans Meetup offers to organizers:
$12 per month for 6 months (a single $72 charge)
$15 per month for 3 months (a single $45 charge)
$19 per month
SOCWBC chooses the 6 month plan; however, we can pay for a full year upfront for $144.00. After running the group for almost 4 years now, I have had a few variations of when and how much members pay in dues, and have come to the conclusion that for ease of managing dues and payments, it is much less confusing to accept one payment, once a year from members.
The new policy is effective now, and is outlined below:
$12 annual fee due once a year in January. This breaks down to a $1 a month, and it is also easy to pro-rate new members who join throughout the year.
Since it is now February, dues for 2012 are now due with the following guidelines:
- Those members that have made a dues payment for October 2011 to April 2012 (the last time I made a payment to Meetup), will owe dues of $8 for 2012 and then subsequent years will be $12
- Members who did not pay dues for October 2011 (the last time I made a payment to Meetup) will owe $12 for 2012
- Those members who paid for a full year last October, will not be charged for 2012 ($10 or $12)
- New Members will pay a pro-rated amount, after a grace period of 2 months to decide if they want to continue in the group. Dues will be effective from their join date.
- Some members will need to pay back dues, and will be sent an email by the treasurer, with the amount the member owes in back dues. The logic here is it is not fair for some members to consistently pay dues and others not to pay dues.
- Even current members will get an email stating the amount owed because transitions are always confusing, and it will simply state the amount of dues the person owes. (We are transitioning from paying bi-annual in April and October to a flat $12 at the beginning of each new year.)
- The dues are for belonging to the book club on annual basis, and not on a per meeting basis. We offer 2 book meetings a month, for the same dues price, and offer other get-togethers from time to time as well. It's up to the individual member how much they participate or not participate.
- All dues will be used for the group to pay subscription fees, domain use fees, supplies, and for an annual Christmas party. Any surplus will be used to pay more subscription fees or will be donated to a worthy cause to be discussed with the leadership of the group.

a) Please include .65 for a total of $12.65 or .53 for a total of $8.53, if you use a credit or debit card.
b) If you use your checking account to transfer the money, there will be no additional charge
(ie. you will need your routing and checking account number).

Thank you for baring with me through this transition from paying twice a year in April and Oct. to once a year. It finally hit me how much simpler it will be all the way around in managing dues, titles will be less ambiguous (ie if someone pays in October they are an Active Member until April of 2012, so ther was no clear way to convey), and payment to Meetup will be streamlined.
